Privacy For Customers and Survey Respondents

This privacy policy explains how the Culture Insights research initiative ("Culture Insights", "Project", "Initiative") handles your personal information and data. The Culture Insights initiative is managed and delivered by the Institute for Methods Innovation ("IMI") and is supported by technology and services provided by Qualia Analytics ("QA"). Both IMI and QA ("We", "Us", "Our") are represented in this document as legal entities responsible for different activities as the Project Delivery Consortium.

We value your trust, so we’ve strived to present this policy in clear, plain language instead of legalese. The policy is structured so you can quickly find answers to the questions that interest you the most.

This privacy policy applies to all the products, services and websites offered by IMI, Qualia Analytics and affiliate projects, except where otherwise noted. We refer to those products, services and websites collectively as “services” in this policy. Some services have supplementary privacy statements that explain in more detail our specific privacy practices in relation to them. Unless otherwise noted, services are provided by IMI, a non-profit registered in California, if you are in the United States, Canada, Mexico, Central and South America, and by IMI, a CIO Foundation registered with the Charity Commision in England, if you are located anywhere else.

Customers & Survey Respondents

Culture Insights project surveys and evaluation tools are used by Customers; the people or organisations for whom surveys are created, and who conduct surveys; and Survey Respondents; the people who answer those surveys. The information received from Customers and Respondents and how this information is handled differs, so this privacy policy split into two parts.

1. KEY POINTS IF YOU ANSWER SURVEYS:
  • 1.1. Surveys administered with Qualia Analytics technology.more_vert

    Qualia Analytics provides the platform and evaluation tecnology to host the surveys on Initiative websites or on the customer’s website, while also helping collect and process the responses that you submit to the survey creator. The survey creator is usually the same person that invited you to take the survey, and sometimes they have their own privacy policy. If you have any questions about a survey you are taking, please contact our support teams (noted above).

  • 1.2. Are your responses anonymous?more_vert

    Institutions have an ability to anonymize surveys by hiding all personal information (IP addresses, names, addresses, emails) from the display and the analysis. This setting cannot be turned off once there is at least one response. If the setting is turned on the personal data may only be used to send you additional email reminders or randomly select a prize winner and request information where to send it. Contact the data controller institution for the form in which you are participating for more information about your survey.

    Your Content will be treated as confidential information and only used and disclosed in accordance with our Terms (including privacy policies). However, your Content is not regarded as confidential information if such Content: (a) is or becomes public (other than through breach of these Terms by Us; (b) was lawfully known and processed by Us before receiving it from you; (c) is received by Us from a third party without knowledge of breach of any obligation owed to you; or (d) was independently developed by Us without reference to your Content.

  • 1.3. Which information is collected from you?more_vert

    Each survey will have different questions or identifiers. If a survey contains specific questions on your name or email address, this will be submitted and collected as data. Please also note that whenever you fill in a survey, your computer IP address and other platform data will usually be collected. Platform data is collected both to troubleshoot problems with our service and to make improvements to it. We also infer your geographic location based on your IP address.

    We store information about you (specified below) to provide functionality necessary to invite and store survey responses.
    1. 1. Survey question responses (what respondent have answered).
    2. 2. Email information (email addresses, names to send invitations and reminders).
    3. 3. Respondent metadata (to provide institutions with aggregate data about respondents)
      1. a. Information about your device (Operating system, browser used)
      2. b. Information about your location (IP address, geo-location information)
      3. c. Information about your visits (cookies, access logs)
  • 1.5. We don’t sell your responses to third parties.more_vert

    The Project stakeholders will not, under any circumstances, sell or share your survey responses with third party advertisers or marketers (although the Institution for whom you submit your responses might, so check with them).

    We merely acts as custodians on behalf of the survey creator who will be your data processors, except as further described in this privacy policy with regard to public surveys.

    If you are visiting from Europe, the data controller for the survey that you are participating in will be accurately identified in each form in an opt-in question or privacy notice messages.

  • 1.6. Access and removal of personal data.more_vert

    Following the guidelines for the GDPR we have implemented a page for all survey respondents to access, delete or modify their own survey submissions.

    You may access the Respondent Portal by typing the email address you have used when completing the survey. To verify your identity we will send a link to your email address and by clicking it you will be able to access your completed surveys and modify your data.

    If the survey you have completed was anonymized or did not have any personally identifiable information, unfortunately, you will not be able to access that in an automated way. If you wish to raise an issue please contact us via privacy@cultureinsights.org.

2. KEY POINTS IF YOU ARE AN INSTITUTION
  • 2.1. Your survey data is owned by you.more_vert

    Results from the project will only be publicised at an aggregate level of data analysis. However, results will not be publicised at the level of individual Client institutions without the explicit consent of a representative of the Client. However, the Supplier reserves the right to publicise the names of the participating institutions at its discretion. Your data will not be re-sold to anyone or used for purposes unrelated to your institution or services offered through the Initiative, except in a limited set of circumstances (e.g. if you’ve given us permission to do so).

  • 2.2. Respondents’ email addresses.will be safeguarded .more_vert

    To make it easier for you to invite people to take your surveys via email, you may upload lists of email addresses, in which case Qualia Analytics and its sub-processors act as mere custodians of that data. We don’t sell these email addresses and we use them only as directed by you and in accordance with this policy. The same goes for any email addresses collected by your surveys.

  • 2.4. Where you data is stored.more_vert

    Qualia Analytics will process your survey data on your behalf and under your instructions (including the ones agreed to in this privacy policy). The nearest server to you will be used to run your survey system and process data.

    If your institution is located within the EU, your responses will be stored and processed in servers in the United Kingdom. Unless doing so on your behalf and under your instructions your data will not be transferred internationally (if a Service we offer you relies on international transfer of data, you will be notified and the transfer will be bind according to the Section 15.10 of the Terms of Use).
